Add the Decision Reply Form to the Applicant Status Page

Once decisions have been released and applicants have viewed their decision letters, you can add the decision reply form to the applicant’s checklist and, in turn, their application status portal. This form lets applicants indicate whether they accept or decline the offer of admission.

  • If a change must be made to the form after your rules were built, test all rules again based on that form: changes to the form may break existing rules.

Locating your database’s rule

Your Slate for Admissions database is provisioned with an Add Decision Reply Form to Checklist rule.

  1. Go to Database → Rules.

  2. Select the Decision Management folder.

  3. Select Add Decision Reply Form to Checklist.

If you don’t find this rule in your database, you can make it yourself. In this article, we’ll show you how to configure this rule to display the decision reply form on the applicant’s status page when decision conditions are met.

Creating the add reply form rule

This rule adds the Decision Reply form to the Forms section on the status page when an admit decision is released.

To create the rule:

  1. Go to Database → Rules.

  2. Click New Rule.

  3. Configure the following settings:

    • Name: Add Decision Reply Form to Checklist

    • Type: Configurable Joins

    • Category: Records

    • Base: Application

    • Rule Type: Checklist

    • Rule Trigger: Upon Update (Deferred)

    • Folder: Make a new folder for Decision Reply Form rules

    • Exclusivity Group: Leave Blank

    • Status: Preview

  4. Select Save.

Configuring rule filters

To configure filters that add the form to the status page:

  1. Add a join to Lookup Round.

  2. Add a join to Lookup Period.

  3. Select subquery filter.

  4. Configure the following settings:

    • Status: Active

    • Name: Enter Decision Confirmed.

    • Type: Dependent Subquery

    • Aggregate: Exists

    • Exports: Add the Decisions Confirmed Date export

    • Filters: Add a join to Decisions and a filter for Code IN Admit

  5. Select Save.

Configure the rule action

  1. Under Action, configure the following settings:

    • Checklist: Form

    • Form: From the list, under Applications / Decision Management, select Reply to Offer of Admission.

    • Req. Released Decision: If this decision has not been released, the form will not be added to the applicant status page

    • Required/Optional: Required

    • Effective Type: Select Relative to Release Date to add the form to the checklist for students with a released Admit decision after the release date has passed. This setting is also used to make the form appear on a specific date

    • Effective X Days After Release: Enter the number of days following decision release after which the form should appear. Useful if you don’t release your decisions online.

    • Expires Type: Removes the form from the applicant status page on a specific date.

    • Expires X Days After Release: Removes the form from the status page a number of days after the decision has been released.

    • Editable: Determines whether the form response can be edited or not after submission.

    • Action: Add New

  2. Select Save.

Form checklist widget

Use the Form Checklist widget on the status page to display to display the Decision Reply Form as the rule is placing this form in that section and it will only appear on using that widget.

Reply form expiration

In addition to setting an expiration date on the decision code, you can also set a dynamic expiration date for the decision reply form using the rule. By using the rule’s built-in expiration date function, you can manage all expiration logic in one place within the Action section of the rule.

For example, for students with a specific decision code and decision reason, you can automatically set the decision reply form checklist item to expire a certain number of days after the decision release date.

With this configuration, the rule can set the expiration date:

  • On the checklist item that is created by the rule

  • When there is an expiration date on the checklist item, you can administratively extend it on the record:

Waitlist decisions

Make a separate rule to add your separate Waitlist Reply form for applicants with a confirmed Waitlist decision.
