Adding an Admit/Decline Decision via Form Rules

Decision codes can be automatically added to an applicant’s record through Form Rules configured directly within a form. These rules are triggered upon form submission and allow institutions to systematically update application records based on an applicant’s response.

Once an applicant selects the option to decline their offer of admission on the form, the configured rule will automatically update their application record by adding a new decision code to the Application tab of the person record. This automation streamlines the tracking and management of applicant responses, supporting more efficient waitlist management and more targeted marketing efforts. The newly assigned decision code allows staff to quickly and easily identify applicants who have responded to their offer but chosen not to matriculate.

🔔 Important!

  • Fnalize a decision reply form before configuring post-decision rules.

  • Changes to the form may break existing rules: if you make a change to the decision reply form after creating its form rules, test the rules.

How it works

  1. On your reply form, admitted applicants select one of two responses to “Do you accept the offer of admission?”

    • I ACCEPT my offer of admission

    • I DECLINE my offer of admission

  2. If an applicant declines the offer of admission, a rule adds an Admit/Decline decision code to the application tab of the person record, once the form is submitted.

Configuring the Admit/Decline decision rule:

  1. Click Forms in the top navigation bar.

  2. Select the Reply to Offer of Admission Form.

  3. Click Edit Form.

  4. Click Edit Rules.

  5. Click New Rule.

  6. Configure the following settings:

    • Name: Give the rule a name.

    • Type: Decision

    • Exclusivity Group: Decision Reply

    • Non-Deterministic: Rule is deterministic and has an exclusive priority

    • Priority: 2

    • Status: Preview

  7. On the reply form, the required accept/decline question must be an unmapped form field with an export key and prompts for ACCEPT or DECLINE. Use the filter for this question and filter on the DECLINE value.

  8. Configure the rule’s action:

    • Add Decision: This selection will only display decisions with prerequisites assigned.

    • Letter: Set a letter if one exists. We do not recommend creating a letter for the Admit/Decline decision and instead use the Default for Decision option.

    • Action: Select Confirm + Release.

Don’t see a decision?

Some decisions must be configured with a prerequisite decision. For example, the Admit/Decline decision should only be available as a decision to those applicants to whom an Admit code has been added.

If Admit/Decline is not an option when configuring your rule action, you probably need to revisit the prerequisite settings for that decision code in Decision Codes.
