User/Role assignment, automatic replies, staff notifications, and status updates can all occur automatically using the Rules Editor.

Resolve rules allow you to automatically mark a message as Resolved or Open. Messages will remain open until they are marked as resolved either manually or via a rule.

🔔 Important!

If the rule is configured to run Upon Message Receipt Only, keep in mind that there will not be a User or Role assignment at the time that the filters are evaluated, so you should not include the Role or User filter for Upon Message Receipt Only Assignment rules. You are able to use the Group filter, as the Inbox Group is determined immediately based on the email address used to send the message into Inbox.

Best Practice

If you will have multiple Resolve type rules with the same Trigger, it is best to use an Exclusivity Group since a rule can be either Resolved or Open, but not both at the same time.

Star/Unstar Messages

Automatically stars or unstars a message based on filter criteria set by the rule.

  1. Click Database in the top navigation bar and select Rules Editor.

  2. Click New Rule.

  3. Enter the following configurations in the popup window:

    • Name: Star Message

    • Type: Configurable Joins

    • Category: Related

    • Base: Inbox

    • Rule Type: Star

    • Trigger: Upon Message Receipt or Nightly Processing

    • Folder: Inbox / Star

    • Status: Preview

  4. Click Save.

  5. Configure the appropriate filters:

    • Add any necessary filters

  6. Choose the appropriate action:

    • Star: Set the action to Star or Unstar

    • Click Save.

  7. Activate the Rule

    • Click Edit

    • Status: Active

    • Click Save.

Flag/Unflag Messages as Junk

Automatically flag or unflag a message as junk based on filter criteria set by the rule.

  1. Click Database in the top navigation bar and select Rules Editor.

  2. Click New Rule.

  3. Enter the following configurations in the popup window:

    • Name: Flag Message as Junk

    • Type: Configurable Joins

    • Category: Related

    • Base: Inbox

    • Rule Type: Junk

    • Trigger: Upon Message Receipt or Nightly Processing

    • Folder: Inbox / Junk

    • Status: Preview

  4. Click Save.

  5. Configure the appropriate filters:

    • Set any necessary filters

  6. Choose the appropriate action:

    • Junk Flag: Set the action to Set Junk Flag or Unset Junk Flag

    • Click Save.

  7. Activate the Rule

    • Click Edit

    • Status: Active

    • Click Save.

Set Fields

Automatically set a field based on filter criteria set by the rule.

  1. Click Database in the top navigation bar and select Rules Editor.

  2. Click New Rule.

  3. Enter the following configurations in the popup window:

    • Name: Set Field

    • Type: Configurable Joins

    • Category: Related

    • Base: Inbox

    • Type: Field

    • Trigger: Upon Message Receipt or Nightly Processing

    • Folder: Inbox / Set Field

    • Status: Preview

  4. Click Save.

  5. Configure the appropriate filters:

    • Set any necessary filters

  6. Choose the appropriate action:

    • Field: Select the field to be set by the rule

    • Action: Select the appropriate action the rule should take on the field selected

    • Value / Prompt: Select the corresponding value or prompt to be set automatically by the rule

    • Click Save.

  7. Activate the Rule

    • Click Edit

    • Status: Active

    • Click Save.
