Article summary

Concierge uses conventional and express portals as a front end for fast record lookups (imagine it as your front desk receptionist). Traditionally, a school might create a custom portal, or perhaps grant permissions to look up person records. With Concierge, you can create curated user experiences for fast, go-to searches.

To set up a Concierge lookup:

  1. Create an express portal to set up the data visualization.

  2. Create a Concierge endpoint.

Step 1: Creating an Express Portal

To create and design the portal that displays record data for your staff:

  1. Click Database on the Slate navigation bar. The Database page appears.

  2. In the Portals section, select Express Portals. The Express Portals summary page appears.

  3. Click New Express Portal. An Edit Details popup appears.

  4. Configure the following settings:

    • Status: Set to Active.

    • Name: Give the portal an appropriate, descriptive name.

    • Key: Enter a unique, computer-friendly key (no spaces or special characters).

    • Folder: Keep express portals organized by placing them in folders. Create a new folder by selecting Other and entering a name.

    • Scope: Select Person or Application, depending on the results you want users to search for.

    • Security: Set to User.

  5. Click Save. The summary page for the express portal appears.

  6. Click Edit. An Edit Details popup appears.

  7. In the Restrict Access area, add filters to restrict the list of person or application records available in each concierge portal.

  8. Click Save to return to the summary page for the express portal.

  9. Click Edit Permissions. An Edit Permissions popup appears.

  10. Click Add Grantee. An Edit Grantee popup appears.

  11. Configure the following settings:

    • Active: Set to Active.

    • Type: Select grantee type: User, Role, or Permission. The remainder of the settings change depending on the type you select.

    • Complete the information for permission that should be granted access to the Concierge endpoint.

  12. Click Save to return to the Edit Permissions popup.

  13. Click Close to return to the express portal summary page.

  14. Configure the portal to display the person or application scoped data you want Concierge users to see at a glance.

Required Permissions

Each Concierge grantee should have the User Access permission.

Step 2: Creating a Concierge Endpoint

  1. Click Database on the Slate navigation bar. The Database page appears.

  2. In the Portals section select Concierge. The Concierge summary page appears.

  3. Click New Concierge. An Add Concierge popup appears.

  4. Configure the following settings:

    • Status: Set to Active.

    • Name: Enter a descriptive name for the Concierge endpoint.

    • Portal: Select the portal which will be used to display your data.

  5. Click Save. to return to the Concierge summary page with an updated list of Concierge items.

  6. Click the Concierge endpoint you just created. And Edit Concierge popup appears.

  7. Click Preview.

  8. Enter the name of a record to display.

  9. Change the Status to Active when the Concierge endpoint is ready to display.

If you wish to share this Concierge with others, copy and send the URL to the appropriate staff members.

Tip

Use Concierge to provide quick and easy access to common actions like uploading documents, submitting forms, and setting interactions.
