Adding Opportunities and Proposals

Major asks are tracked in Slate as “opportunities.” A constituent record can include unlimited opportunities.

To create a new opportunity:

  1. Open a constituent record and select the Giving tab.

  2. Click the Opportunities link on the right-side of the page. A list of existing opportunities (if any) appears.

  3. Click New Opportunity. An Edit Opportunity popup appears.

  4. Provide the the following configuration settings:

  • Name: Enter and appropriate name for the opportunity. Gifts and pledges can be tied to this opportunity at a later date.

  • Date: Click the field to open a date picker. Select the identification for date the opportunity.

  • Status: Select the appropriate status for this opportunity (opportunity statuses can be added and modified by configuring prompts for Slate standard advancement fields).

  • User: Select the user who is creating the opportunity. If desired, you can specify yourself.

  • Opportunity Type: Select from the list of existing types.

  • Funding Type: Select from the list of existing types.

  • Fund: If desired, you can relate this opportunity to a Fund dataset record. Once you start entering a fund name, an autosuggest provides existing funds that match your input.

  • Campaign: If desired, you can relate this opportunity to a campaign dataset record. Once you start entering a campaign name, an autosuggest provides existing campaigns that match your input.

  • Anticipated Ask Amount: If desired, you can enter the anticipated ask amount here.

  • Probability: If desired, you can insert the probability (in percent) for the opportunity.

  • Ask Date: Click the field to open a date picker. Select the date for the asked amount.

  • Asked: Enter the amount of the ask.

  • Description: If it’s helpful to your operations, you can provide a detailed description of the opportunity here.

  • External ID: Use this field to add a unique ID that will be assigned to a particular opportunity. This is typically used to export to other systems.

Opportunity statuses can be customized on an institutional basis by modifying the standard giving prompts. Slate automatically captures expected and received amounts based on gifts and pledges associated with an opportunity.

Associating Materials and Notes

Materials can be associated directly with an opportunity. For example, a completed proposal can be uploaded in PDF format and associated directly with an opportunity on an individual record.

To add a material:

  1. Open a constituent record and select the Materials tab. A listing of existing materials (if any) appears.

  2. Click New Material. A Material popup appears.

  3. Select the associated opportunity from the Record list.

  4. Select the appropriate material type from the Material list.

  5. Add any additional information that might be helpful in the Memo field.

  6. Select the Source for the material. If choosing PDF / Document or File (no conversion), select the file to upload by clicking Choose File, following the prompts, and clicking Upload. If choosing Scanner, select the Scanner Preset value and click Scan to save the material.

Each opportunity can have multiple notes associated with it. Notes are useful for tracking developments of a major gift opportunity as they include a subject, date, time and can have unique users.

Custom Opportunity and Opportunity Notes fields can be created to track additional detailed information.
