Event Communications Overview

As with forms, you can send automated communications directly from an event.
Creating an event communication
To create an event communication:
Go to Events.
Select an existing event, or create a new one.
Select Edit Communications.
Select New Mailing.
Configure the following settings:
Name: Enter an internal name for the communication.
Trigger: Select the conditions under which the message should be sent. See Form and Event Communications Triggers & Groups.
Offset: The amount of time before or after the event the message is sent. Available for time-based triggers.
Group: Further narrows the conditions under which the mailing is sent. Available for some triggers. See Form and Event Communications Triggers & Groups.
Status: Active
Method: Select the medium for your message.
UTM Tracking: Include any UTM parameters as necessary.
Calendaring: Select a calendaring option:
Attach iCal file: Attaches a .ics calendar invite file to the message.
Attach Meeting Invite: The recipient receives a meeting invite compatible with Microsoft, Google, and other modern calendaring clients.
Hide from Timeline: Select to hide this communication from the timeline.
Select Save.

These communications are sent on the basis of the trigger you select.

There are three main types of triggers:
Upon
These triggers depend upon a given action, like a registration for the event, or the event being cancelled, among others.

Upon registration (including related event registration): Mailing is delivered to recipient when they register for this or any related events.
Upon waitlist registration: Mailing is delivered to recipient when they register for the event’s waitlist.
Upon decline: Mailing is delivered when a recipient declines an RSVP.
Time
The mailing is delivered some amount of time before or after the event.
In the offset fields, enter days, hours, and minutes to specify how far in advance or following the event or deadline that the mailing should be sent.
Outreach mailing (send as scheduled)
The trigger for outreach mailings is the date and time at which you’ve scheduled it to send. In this way, they’re like traditional Deliver mailings. This type of trigger is ideal for RSVP emails.

Groups
In the context of event communications, a group is the subset of records in the recipient list that qualify to receive the communication.

Calendaring
When you create a new event communication, you can select one of two calendaring options:
Attach iCal File
This option attaches a .ics calendar invite file to the communication.
The recipient must download and open the file in their calendaring app of choice. They may need to manually import the file.
Attach Meeting Invite

This option attaches a meeting invite to the communication. These invites are picked up automatically by modern calendaring services, like Google, Microsoft 365, the Apple Mail app, and more.
When someone receives an email with a meeting invite, their calendar client pencils in the Slate event at the date and time it’s scheduled to occur. Keep in mind that this behavior may be impacted by the recipient’s preferences in their calendar app.
