On an event or event template’s overview page, select Edit to open the Edit Event menu.

Details

Page Title

Add a registrant-facing title for the event page.

Internal Name (Optional)

Add an optional, internal name for the event.

Template

Assign an event to a template. Events associated with a template will inherit the template's status, location, and any communications.

Folder

Create a folder for event templates and events.

🔔 Important!

Folders are critical! Events will be publicized based on folder names. Be sure to provide clear and informative folder names (e.g., “Campus Tours”).

Status

When creating a template, set the status to active or inactive; new events will inherit this active or inactive status if they are associated with a template. An event status should reflect whether the event is confirmed/active, tentative, cancelled, or declined.

Recurrence 

If creating more than one event, click the recurrence box. Additional options will appear to configure the recurring schedule.

Date

Provide a date and time for the event. If this is a recurring event, provide a date range.  If no time is provided, Slate will use 12:00 AM on that date.

Deadline

Provide a registration deadline, if required. If no deadline is provided, Slate will use the Start Time.

Activation Date/Time

Provide an activation date/time, if event registration should go live at a particular time or date. If no activation date/time is provided, registrants will be able to submit the form upon marking the status as confirmed/active and publishing the link externally.

Time Zone

The time zone setting 'Autodetect from Location' will use the information entered on the location tab to determine the time zone of event.

User, User 2

  • User defaults to user's name but may be changed to another user.

  • User 2 associates a second user with the event.

Trip

Associate an event with a trip created using Trips.

Admin Notify Email

To receive an email notification email every time a new registration for the event is received or an existing registration is updated, enter an email address into this field. Note: multiple email addresses may be added, separated by a comma.

Related Records

Add a related record to the event.

Location

Online Event

If hosting an online event, choose from one of the following options:

Select Host event using Share webinar platform if hosting an event using the Slate Share webinar platform.

Select Host event using external service if hosting an event on an external meeting platform.  

Preserve Formatting

If hosting an in-person event, enter the address of the event. All addresses are queued for validation and standardization. Select the Preserve Formatting setting to prevent the address from being updated. This is generally useful for addresses where the address validator abbreviates a city name, or if a building name or room number information should be included.

Description

Enter an event description, if desired. This description will appear on the event registration form.

Registration Settings

Registrant Limit

If the event has a maximum number of registrants, enter that number. If you are collecting guest information on your event registration form, you can choose to include guests in the registration limit. If this type of event has a registrant limit, this may be set at the template level. Events using this template will honor this limit unless a different registrant limit has been set on the individual event.

Waitlist

Set a waitlist limit, if desired.

Waitlist Transfer

Events with registrant limits can be set to auto-transfer from the waitlist. This will move the earliest waitlist registrant and their guests off of the waitlist and will update their event registration to registered when there is enough space. For example, if a waitlist registrant has two guests, and one person cancels, the waitlist registrant will not move to registered until two additional registrants (and/or guests) cancel.

Related Registration Check-In

If the event registration form includes Related Events, attendees can be marked attended for the related events upon check-in to for the main event, if desired.

Attendance Override

Enter the number of actual attendees for the event to override the number of registrations.

Privacy

Check this setting if the event should not be available on public landing pages.

Timeline

Hides registrations for the event from the registrant’s timeline.

  • This setting operates independently of realms or other permissions—registrations will not appear on the registrant’s timeline to anyone.

  • This setting applies to events created from the template.

Tip: Select this setting for events dealing in sensitive information that should not be disclosed to viewers of the record’s timeline under any circumstances.

Event Portal

Check this box to enable an Event Portal for the event.
