Importing Campaign Data Files from EAB

For users of the EAB products Enroll360 and Adult Learner and Recruitment (ALR), EAB can generate data files daily or weekly through an automated process that delivers these files to your Slate database via SFTP.

EAB provides clients with a Suitcase ID that creates a new EAB source format in your database. This source format can be used to import EAB files into your database. You can customize the source format’s settings and mappings to meet your needs.

The EAB source formats

There are currently five source formats for the EAB import process:

EAB Enroll360 Cultivate

The Cultivate campaign engages prospective sophomores and juniors to encourage them to seek more information about your institution and become part of your inquiry pool. There are multiple communication streams driven by EAB’s new responsive marketing platform. These files can be incremental or cumulative in nature, depending on your preferences. The contact records you receive from this campaign include:

  • Student demographic and contact information

  • Record source

  • Test score and major information

  • Inquiry Generation and Nurture campaign information

  • Contact date

  • Engagement date

  • Opt-out date

  • File update date

EAB Enroll360 Apply

The Apply campaign engages high school senior prospects and inquiries and drives application submissions. These files can be incremental or cumulative in nature, depending on your preferences. Regardless of whether your institution leverages an in-house application, the Common App, an EAB Custom Application, or multiple applications, the contact records you receive from this campaign include:

  • Student demographic and contact information

  • Record source

  • Test score and major information

  • Marketing segment

  • Inquiry scores (if we are receiving the required data points from your institution)

  • Direct Admit information (if applicable)

  • Contact date

  • Engagement date

  • Optout date

  • File update date

EAB Enroll360 Yield

The Yield campaign engages undecided, accepted students, encouraging them to share their plans for institutional commitment. These files can be incremental or cumulative in nature, depending on your preferences. EAB survey marketing aims to understand the factors behind students' enrollment choices. The records you receive include:

  • Student demographic and contact information

  • Student response/qualification (will enroll, requesting more information, will not enroll)

  • Applicable survey details (ranked institutions, ranked decision factors, etc.)

  • Yield Modeling scores (if you have opted into the Yield Modeling product)

  • Contact date

  • Engagement date

  • Opt-out date

  • File update date

EAB ALR Student Journey

The Student Journey campaign engages prospective Graduate and/or Adult Degree Completers to encourage them to seek more information about your institution and to apply. There are multiple communication streams driven by EAB’s responsive marketing platform. These files can be incremental or cumulative in nature, depending on your preferences. The records you receive from this campaign can include where applicable:

  • Contact demographic information

  • Record Source

  • Program information

  • Intended entry term

  • Decision factor, stage, and/or obstacle

  • Preferred modality

  • Campus location

  • Contact date

  • Engagement date

  • Opt-out date

  • File update date

EAB ALR Deposit/Decision IQ

EAB survey marketing aims to understand the factors behind students' enrollment choices. These files are cumulative in nature and the records you receive include:

  • Contact demographic information

  • Contact response/qualification (Yes, Probably, Maybe, No, Already Did)

  • Applicable survey details (ranked institutions, ranked decision factors, etc.)

  • Contact date

  • File update date

📝 Because Enroll360 and ALR Custom Application Responder files are so customized, there are no associated standard source formats for these files.

Step 1: Importing EAB source formats

⭐ Best practice

Set up the import in the production environment, refresh your test environment, and activate the import in the test environment to make sure results are as expected before activating the import in production.

To import the ready-made EAB source formats into your database:

  1. Request a Suitcase ID from an EAB data team member.

  2. Import the source format using Suitcase.

If you find that the standard EAB Source Formats do not meet your current needs, you can create a custom source format.

Step 2: Configuring the EAB source formats

For each EAB source format:

  1. Select Edit.

  2. In the General tab, adjust settings to best fit your needs.

  3. Select the Format Definition tab. EAB predicts the standard configurations should suffice, but they can be updated to fit your needs.

  4. Select the Import Automation tab.

  5. Configure the Import Path/Mask.

  6. Select Save.

Step 3: Mapping the EAB source formats

Each of the EAB source formats must be mapped. To map the EAB source formats, you must upload a sample file.

🔔 Important!

The data import and merge processes in Slate cannot be undone. Exercise extreme caution when uploading datasets of any kind, particularly for predefined formats like score reports. Before uploading, always confirm the dataset you are uploading is consistent with the format type you have selected and with past datasets of this type.

  1. Visit the EAB Marketing and Enrollment Services Help Center or contact your account team to receive a sample file.

  2. Go to Database → Upload Dataset.

  3. Upload a sample file in the exact format and layout of your EAB campaign data file.

  4. Wait until the sample file has progressed from Pending to Awaiting Activation.

  5. Go to Database → Source Formats.

  6. Select the EAB source format.

  7. Select Edit Mappings. EAB has configured initial mappings on your behalf.

  8. Ensure the established mappings match your specific formatting and destinations.

  9. Create custom fields or tags to track any data not represented in the source format.

  10. Repeat for each remaining EAB source format.
