Group record tabs under parent tabs so busy records are easier to scan.

Subtabs let you organize record tabs into parent and child relationships. A parent tab can contain a list of subtabs at right, so users can find related information without a long row of top-level tabs.

Subtabs on existing tabs

Subtabs on existing custom tabs

You can add subtabs to existing custom tabs, but to do so, the parent tab’s Type must be blank.

📝 If you have an existing tab with the Type of Form or Portal, you won’t be able to give it subtabs; make a new tab instead.

Subtabs on system tabs

You can also add subtabs to the system tab Profile.

Creating a parent tab

To create a new tab:

  1. Go to Database → Tabs.

  2. Select a tab to be the parent, or create a new tab.

  3. Configure the following settings:

    • Folder: Place the parent tab in an existing folder, or select Other and enter a name to create a new folder.

    • Name: Enter a name for the parent tab.

    • Scope: Select the type of record on which the parent should appear (person, application, or dataset). Homepage tabs cannot have subtabs.

    • Type: This setting must be left blank

    • Order: Enter a number to represent the order of the tab in the list of tabs across the top of the record.

    • Read/Write Permission: Grant read and/or write permissions for the tab to users with the selected permission.

    • Show for Records in Population: Select a population for whom the tab should appear. This setting does not apply to dataset tabs.

    • Color: Select an optional color for the tab’s icon.

    • Parent: This setting must be left blank

  4. Select Save.

💡 The blank parent tab doesn’t appear on records until it has at least one subtab.

Creating a subtab

To create a subtab:

  1. Go to Database → Tabs.

  2. Select an existing custom tab, or create a new one.

  3. Configure the following settings:

    • Folder: Place the subtab in an existing folder, or select Other and enter a name to create a new folder.

    • Name: Enter a name for the subtab.

    • Scope: Select the parent tab’s scope. Homepage tabs cannot have subtabs.

    • Type: Select a tab type to display either a form or a portal.

    • Order: Enter a number to represent the order of the subtab in the list of subtabs.

    • Read/Write Permission: Grant read and/or write permissions for the subtab to users with the selected permission.

    • Show for Records in Population: Select a population for whom the tab should appear. This setting does not apply to dataset tabs.

    • Parent: Select the parent tab under which the subtab should appear. You can also select the person tab’s Profile tab.

  4. Select Save.

Go to a record (person, dataset, or application, accordingly) to confirm that the subtab appears.

Examples

Create an Admissions parent tab and place interviews, decisions, scholarships, or application review tabs beneath it.

Create a Student Support parent tab and place advising notes, alerts, success plans, or appointment history tabs beneath it.

Create an Advancement parent tab and place opportunities, research, committees, or stewardship tabs beneath it.
