Article summary

Suitcase Imports allow objects (such as forms and queries) to be shared between different Slate databases. This article provides an overview and best practices for using Suitcase Import to transfer forms (including event and interview template forms), queries and reports, source formats, and portals.

Adding a New Object to Suitcase

An existing object can be copied to Suitcase so it can be shared to other databases. The Suitcase Import articles provide instructions for copying objects to Suitcase based on type.

Objects can be organized in folders within Suitcase. A memo can also be added to include brief notes or descriptions. When copying an object from the Slate database to Suitcase to share with other users:

  • Add a Memo.

  • Assign a Folder. Create a new folder by selecting Other and providing a name. Subfolders can also be created.

Upon selecting Save, a Suitcase ID is provided. This ID can be shared with other users to import the saved Suitcase object.

Note that the Folder and Memo are applied only to the object created as an item within Suitcase. When the object is imported using its Suitcase ID, it is filed in the folder where the original object is saved (that is, before it was created in Suitcase). The Suitcase Folder and Memo are relevant only within the Suitcase tool for organizational purposes.

Where is the object filed?

The imported object is added to the relevant Slate area based on the type. For example, a form object is added into the form builder, a report in report builder, etc.

If the database where the Suitcase  object is imported does not have a folder of the same name within the relevant tool, Slate creates a folder with that name. If necessary, the object can be refiled once imported.

Objects added as Suitcase items are viewable on the Suitcase page. The list is sortable by the table headers that include Folder and Memo. The list can also be filtered based on the Folder, located on the right-side pane.

  • Created: When the item was created as a new Suitcase object

  • User: The Slate user who created the new object

Each item on the list can be selected to view as well as update details at any time.

Tip

A Suitcase Import ID captures the form or other object in its current state. If changes are made to the original object, these changes are not reflected in the original Suitcase ID. An additional Suitcase ID must be created to capture the changes.
