Article summary

The Timeline tab can be found on constituent records. It keeps a record of communications delivered, forms submitted, gifts received, and much more.

On the right, there are four sections:

  • Timeline

  • Interactions

  • Audit Log

  • Campaigns

Each section provides a different slice of the overall history of the record. This article covers each section in detail.

Timeline

The Timeline section provides an overall history of interaction events that have taken place on the record, such as form submissions, message history, and payment history.

Date range

Adjust the date range for display by changing the values on the upper right.

Exploring the timeline

The timeline consists of an ordered list of all interactions, grouped by month and year.

Selecting an interaction opens a popup that provides related information and contextual options to modify the interaction.

Filtering the timeline

Select which types of interactions appear in the timeline. Slate remembers your preferences.

Enter search terms in the Search Interactions… field to narrow down the list of results by text in the code, subcode, and subject of an interaction.

Creating new interactions

New interactions can be added directly to the record by selecting New Interaction.

Settings to configure include:

  • User: Select the user to represent the interaction

  • Code: Select from a list of interaction types

  • Subcode: Narrow down the interaction type

  • Date and time: Defaults to current date and time. Can be post- or ante-dated.

  • Subject: Enter a subject line that appears on the timeline next to the interaction’s code.

  • Private Comments: Enter private comments describing the interaction.

  • Public: Select to post to online status (includes subject and public comments). Creates a new Public Comments text field if selected.

Interactions

The next section on the right, Interactions, differs from the timeline in that it is a table, with one row per interaction.

The Interactions section displays a chronological list of interactions, such as form submissions, message history, and payment history, that have taken place on the constituent record.

Types of interaction

On the right side of the section, you can search for specific interactions using the search box. You can manage the category of displayed interactions in the list by selecting and clearing the checkboxes for the interaction categories.

Messages

A Message interaction is automatically added to the student record when the following communications are sent:

  • Form communications

  • Event communications

  • Interview communications

  • Deliver email messages

  • Ad-hoc messages sent through Slate or the Slate Email Gateway

For example, a prospective student who submits multiple event registration forms will have Message interactions for each of the event communications that were sent:

Source

A Source Code interaction is automatically added to the student record for the following items:

  • Form registration

  • Event registration

  • Interview registration

  • Source file import from Upload Dataset

  • Application creation

For example, a student who submits multiple forms and also has had data imported into Slate from Upload Dataset may have a record with the following Source interactions:

  • These items were added to the record through Upload Dataset.

  • When a student cancels their visit, the Source code interaction remains on the record, but it displays in lighter text.

  • The name of the Slate user who updated the registration status for this event appears in the User/Status column.

  • Click a Source interaction to view information related to that source. For example, event registration interactions will display the registration form responses.

Event Registration Status

The Event registration status appears in the subject of the interaction row. For example, when a prospective student originally registers for an event, the status of that event registration is Registered. If the registration is cancelled, the status updates to Cancelled. If the prospective student attends and is checked-in for the event, the status changes to Attend. If the prospective student does not attend and is marked as a No Show, the status then changes to No Show.

Audit Log

The Audit Log provides a chronological list of changes made against the record. Audit events include custom fields being set or unset, address and contact information updates, query executions, and more. The user or rule that initiated the event appears along with details of the audit event.

The list of audit events can be filtered by date and custom field. To filter by a custom field, select the field name from the select list on the upper-right of the display.

Click Refresh to refresh the list of audit events after changing the dates or selecting a specific custom field.

Campaigns

The Campaigns section lists any Deliver campaigns in which the record is included. The campaign list can be filtered by date and specific campaigns from the select list on the upper-right of the display. Click Refresh to update the list of campaigns after changing the dates or selecting a specific campaign.

Clicking the mailing name gives quick access to the mailing the record will receive. Clicking Preview will present a popup of the expected message. Clicking Check Logic will return a popup of the conditions the record meets to be included in the mailing.
