Displaying ETS Score Reports in the Reader

Prev Next

ETS has embeddable score reports available for their GRE® and TOEFL® tests that can be configured to appear as a tab in the Slate Reader. In addition to the scores, the ETS TOEFL score report provides access to hear speaking samples and view writing samples, and the GRE score report provides access to test taker photos and analytical writing essays.

GRE Configurations

Custom Fields

The custom field stores the GRE appointment number that is used to display the score report in a Reader Tab. Refer to the "Reader Tab Group" section of this article for instructions on configuring the Reader Tab.

To create the custom field:

  1. Select Database on the top navigation bar and select Fields.

  2. Select Insert.

  3. Create a person-scoped custom field "GRE Appointment Number" with the following specifications:

  4. Select Save.

(Optional) If your institution receives GRE score reports associated with multiple DI Codes, create an additional person-scoped field to store the DI Code associated with the GRE Appointment Number.

Source Format

  1. Add the GRE Score Data File.

Note: If your institution is already importing GRE scores using one of these source formats, disregard this step.

Add the GRE Score Data File (Fixed Width 2017) or GRE Score Data File (PGP 2017) source format from the Source Format Library. These source formats are identical, except that the PGP version allows you to upload encrypted files, and it will decrypt them using the PGP key that you provide.

To add the key for the PGP version of the source format:

    1. Edit the source format.

    2. Select the Format Definition tab.

    3. Enter the PGP Private Key and PGP Password that Slate will use to decrypt the file.

  2. Configure the Remap settings for this source format. Many standard fields are pre-mapped, including the test score data and biographical information.

Create a mapping for the GRE Appointment Number field created in the previous section.

    1. Go to the Field Fusions page of the Remap settings for the source format.

    2. Create a new field fusion.

    3. Select Registration Number as the first source field.

    4. Select Test Date as the second source field.

    5. Set the custom field that you created in the previous section to store the GRE Appointment Number as the destination.

    6. Select Enable unsafe import to this destination to ensure that records with active applications will have the field set by the source format.

    7. Select Save.

Note: To ensure that ETS is able to display the GRE Score Report in the Reader, Registration Number must be mapped as the first source field, with Test Date mapped as the second source field.

(Optional) If you also created a DI Code field, be sure to map the Institution Code source field to that field, using a standard mapping on the Fields page of the Remap settings.

Note: Use the Unsafe Override setting to ensure that records with active applications have the field value set by this source format.

  3. If you are updating an existing source format, disregard this step and proceed to the next step.
If you are using a new source format, edit the source format to set the Remap Active flag to Active. This runs the import using the Remap settings configured above for all files uploaded on or after the Remap As Of Date value.

  4. This step applies to updating an existing source format. If you are using a new format (as described in the previous step), disregard this step.

Since you are mapping additional fields that were not previously imported, your institution may wish to import the data for previously imported records.

    To import the data:

    1. Go to the Retroactive Refresh page of the Remap settings for the source format.

    2. Select just the GRE Appointment Number field (and DI Code field if you are using one) from the list of fields.

    3. Select the sources to refresh from the list of sources under the field list.

Note: You may use the checkbox in the header row to select all applicable sources.

    4. Select Retroactive Refresh at the bottom of the page to import the selected fields for the selected sources.

Creating a GRE Score Report Reader tab

Reader tabs let reviewers view the GRE score report while evaluating applications. To add a Reader tab for the GRE score report:

  1. Go to Database → Workflows.

  2. Select a workflow, or create a new one.

  3. Select Tabs.

  4. Drag a Link tab type from the palette.

  5. Configure the following settings:

    • Status: Inactive tabs are hidden from all reviewers.

    • Name: Enter a label for the tab as it should appear to reviewers, for example, GRE Score Report.

    • Memo: Add optional internal notes describing the tab’s purpose.

    • URL Type: ETS Score Report

    • Score Report Type: GRE

    • Appointment Field: Select the field you created earlier that contains the GRE appointment number.

    • DI Code: If your institution has just one DI code, select Static Value and enter the DI code in the text field that appears. If you created a DI code field earlier, select that instead.

    • Custom Read Permission: If left blank, anyone with the ability to view the application within the selected base will be able to see this tab. We recommend using filters to restrict the conditions under which Reader tabs appear, but if permissions are required, wait until you’ve set up all tabs and materials before configuring them.

    • Color: Select an optional tab color.

    • New Material Highlighting: When enabled, the tab name font will appear green to indicate a new material has been associated with an application record after the current reader began to read the application. For example, if you start reading Alexander Hamilton’s application on a Monday morning and a new transcript is received on Monday afternoon, the next time you open that application in the Reader, the tab containing the transcript will appear in green to indicate this newly received material. Disable to always render tab names in the default color.

    • Filters: Add filters to control the conditions under which the tab appears to reviewers. For example, if you only want the tab to appear if the applicant has a value in the GRE Appointment Number field, create an existence subquery filter for that field value.

  6. Select Save.

TOEFL Configurations

Custom Fields

The custom field will store the TOEFL appointment number that will be used to display the score report in a Reader Tab (See instructions below to configure the Reader Tab ).

  1. Select Database on the top navigation bar and select Fields.

  2. Select Insert.

  3. Create a person-scoped custom field.

  4. Select Save.

(Optional) If your institution receives TOEFL score reports associated with multiple DI Codes, create an additional person-scoped field to store the DI Code associated with the TOEFL Appointment Number as well.

Source Format

  1. Add the TOEFL Score Data File.

Note: If your institution is already importing TOEFL scores using one of these source formats, disregard this step.

Add the TOEFL Score Data File (Fixed Width >10/2017) or TOEFL Score Data File (PGP >10/2017) source format from the Source Format Library.

Be sure to map the Registration or Appointment Number source field to the appointment number custom field that you created earlier. If you also created a DI Code field, be sure to map the Institution Code source field to that field.

Note: Use the Unsafe Override setting to ensure that records with active applications will have this field set by this source format.

    2. Select just the TOEFL Appointment Number field (and DI Code field if you are using one) from the list of fields.

    3. Select the sources to refresh from the list of sources under the field list.

Note: You can select the box in the header row to select all applicable sources.

    4. Select Retroactive Refresh at the bottom of the page to import the selected fields for the selected sources.

Creating a TOEFL Score Report Reader tab

Reader tabs let reviewers view the TOEFL score report while evaluating applications. To add a Reader tab for the TOEFL score report:

  1. Go to Database → Workflows.

  2. Select a workflow, or create a new one.

  3. Select Tabs.

  4. Drag a Link tab type from the palette.

  5. Configure the following settings:

    • Status: Inactive tabs are hidden from all reviewers.

    • Name: Enter a label for the tab as it should appear to reviewers, for example, TOEFL Score Report.

    • Memo: Add optional internal notes describing the tab’s purpose.

    • URL Type: ETS Score Report

    • Score Report Type: TOEFL

    • Appointment Field: Select the field you created earlier that contains the TOEFL appointment number.

For example, if you only want the tab to appear if the applicant has a value in the TOEFL Appointment Number field, create an existence subquery filter for that field value.

  6. Select Save.
