Attach materials directly to entity records so supporting files stay with the entity they describe.

Entity materials let you associate a material type with a specific entity. After the material type is scoped to the entity, you can add a material uploader to that entity widget form so users can upload, review, and remove files from the entity row.

You can use entity widgets to:

Store a scholarship committee memo or award letter on the scholarship entity row rather than on the general applicant materials tab.

Attach an advising plan, accommodation document, or appeal file to the specific advising or support entity row it supports.

Attach prospect research, campaign documentation, or fund documentation to the entity row that tracks the relationship, opportunity, or committee membership.

Creating an entity-scoped material type

  1. Go to DatabaseMaterials.

  2. Select Insert, or edit an existing material type.

  3. Configure the material type settings, including the name, key, status, and access settings.

  4. For Scope, select Entity.

  5. For Entity, select the entity that should use this material type.

  6. Select Save.

Adding a material uploader to an entity widget form

  1. Go to Forms.

  2. Open the entity widget form used by the entity.

  3. Select Edit Form.

  4. Select Material Uploader from the form builder palette.

  5. Select the entity-scoped material type that should be available from the uploader.

  6. If the material type does not appear, return to the material type and confirm that Scope is set to Entity and that Entity matches the form's entity widget scope.

  7. Configure the remaining uploader settings, including the label, upload type, help text, upload limit, layout, and options.

  8. Place the uploader where users should manage the file, such as in a custom section or widget tab.

  9. Select Save.

  1. Open a record that displays the entity widget.

  2. Open or add the entity row where the material uploader appears.

  3. Use the material uploader to upload the file.

  4. Open the entity row or modal to review existing materials.

  5. Select the remove control for a material that no longer belongs with the entity row.
