Realm
Limits which users can access the form administratively.
Status
The status determines whether the form URL is available.
Confirmed/Active: Makes the form URL available.
Tentative: Keeps the form URL unavailable. New forms use this status by default.
Cancelled: Retires the form and makes the form URL unavailable.
Declined: Marks the form as declined and makes the form URL unavailable.
Deadline
Prevents external access to the form or event registration page after the specified date and time.
Activation date and time
Prevents registrants from submitting an active form, event, or slot until a specified date and time, even when the form is published externally.
If no activation date and time is provided, registrants with access to the URL can submit the form as soon as the status is set to Confirmed/Active.
If you enter an activation date, a text field appears. Enter an optional message that appears before the activation date.

Time zone
Uses the location information on the Location tab to determine the time zone for the form or event.
User
Associates a user with the form or event. This setting defaults to the user who created the form.
Admin notify email
Sends an email notification after a registration is submitted. For events, the email set on the event takes priority over the email set on the template.
Related records
Attaches selected dataset records to the form or event. Use this setting when a small number of dataset records should be associated with the registration.
Registration settings tab
Registrant limit
Limits the number of registrations. If an event template has a registrant limit, events using that template honor the template limit unless the individual event has a different limit.
Include guests
Determines whether guest registrations count toward the registrant limit.
Inherit from template
Include guests in registrant limit
Do not include guests in registrant limit
Waitlist transfer
Automatically transfers the earliest waitlist registrant, and any guests, from the waitlist to registered status when enough space becomes available. This setting is available only on event forms.
Custom limit message
Displays a custom message when registration is no longer available.
Privacy
Prevents the form from appearing on public landing pages.
Timeline
Hides form registrations from the registrant's timeline.
This setting operates independently of realms or other permissions. Registrations do not appear on the registrant's timeline to anyone.
💡 Tip
Select this setting for forms that collect sensitive information that should not appear on the record timeline. Examples might include sensitive reports, survey data, or appointment notes.
