Use material metadata when readers or processors enter values that belong to a material or a related school record. For recalculated GPAs, a reviewer can work from the transcript material and save the resulting value to the correct school record.
This approach keeps school-matching logic out of reader review forms. The material processing workflow carries the person, material, and related school context together.

When to use material metadata
Use material metadata when the following conditions apply:
A reader or processor should enter a value while reviewing a specific material.
The value should update a school-scoped field, such as a recalculated GPA.
The material is already associated with the relevant school record.
The review form should avoid grouped school fields or hidden matching fields.
Creating the material metadata form
Create fields to store the material metadata or related record values. For GPA work, this can include a school-scoped recalculated GPA field.
Create a material-scoped form.
Add the fields and calculation logic that the reviewer needs.
Keep the form focused on the information captured while processing the material.
Collecting School Information on a Form
Associating the form with the material
Go to Database → Materials.
Open the material type, such as a transcript material.
In the material metadata setting, select the material-scoped form.
Select Save.
Different material types can use different metadata forms. For example, an international transcript material and a U.S. transcript material can collect different GPA details.
Allowing material processing in the workflow bin
Open the workflow bin settings.
Enable material processing for the bin.
Confirm that the relevant material appears in the reader view for applications in that bin.
Entering metadata from Reader
Open the application in Reader.
Open the transcript or other material that has metadata enabled.
Look for editable in the material banner.
Double-click the banner to open the batch acquire interface.
Confirm that the material is assigned to the correct related school record.
Complete the material metadata form.
Select Save.
After saving, the mapped field values are stored on the appropriate material or related record. You can display those values as merge fields on reader review forms or dashboards.
📝 Note
Confirm the related school record before saving. When a school-scoped field is on the metadata form, the selected school in the material assignment determines which school record is updated.

Reviewing the values before routing
If the recalculated GPA is used later in the review process, display the saved value in the same bin or in a later reader review form. Reviewers can confirm the value before routing the application onward.
