Creating Individual Events from a Template

You can create individual events in Slate from a template.
Before you begin
If you haven’t already, decide on a structure for your event.
When to create separate events
Use the same template to create events that occur at various times on different days. For example, a campus tour summer schedule might look like this:
Monday, Wednesday, Friday at 1 pm
Tuesday and Thursday at 10 am
Create events for Monday, Wednesday, and Friday first, then create Tuesday and Thursday events.
Use the same template to create events that occur at various locations. For example, information sessions might be in two different locations on campus, like this:
Building 1 at 1pm
Building 2 at 1pm
Create events for Building 1 events first; then create Building 2 events.
Creating an individual event from a template
When you set the details of an individual event, like the time, event status, registration limit, these updated details override the details configured at the template level.
To create an individual event from a template:
Go to Events.
Select List View.
Select an event template.
Select Create Events.
On the Details tab, configure the following settings:
Page Title: Enter the title that appears on the event’s public registration page.
Folder: Select a folder to contain the event, or select Other and enter a clear, informative folder names, like Campus Tours.
🔔 Important! Events folder names are public facing.Status: Confirmed/Active
Recurrence: Select Add multiple events to create more than one at a time.
Date / Date Range: Provide the date or date range for which events should be created, and the time of the events.
Deadline: Enter a registration deadline. Defaults to the Start Time.
Activation Date/Time: Provide an activation date/time if required. If left blank, the registration form will be live immediately upon marking the status as confirmed/active.
Weekdays: Select the days of the week during which event occurs. In this example, a Campus Tour will be scheduled for Monday, Wednesday, Friday, and Saturday at 1:00 pm during for first 10 days in November.
User: Defaults to the current user.
Trip: Select from the list to associate the event or events with a trip.
Select the Location tab.
Provide location information for events. If event template includes this information, the template address information will be used once events are created.
Select the Description tab.
Add an optional, public-facing event description to appear below the page title for the individual event. If the event template has a description, the template information will be used once events are created.
Select the Registration Settings tab.
Configure the following settings:
Registrant Limit: Enter an optional registration limit. If the event template has a limit, that limit will be used once events are created.
Privacy: Leave unselected
Select Save.
Your new event appears on the Template Management page.

Managing registrations for individual events
Individual events appear in the event calendar view:
On the event overview page, you’ll find
The date and time of the event
The event location with editable map. If the location is associated with a dataset record, the name of the location will be linked to the record.
A link to the event template
The event folder
The user associated with the event
The status of the event
The public URL for the event. Select Edit URL to replace with a vanity URL.
Any documents associated with this event
Select Edit to edit these details.
If the event is associated with a notes form, a Notes button appears.
The following options are available to further edit the event and its components, export data, or view responses:
Edit Communications
Navigates to the overview of communications associated with this event.
Edit Form
Navigates to the registration form associated with this event. If this event has a template, navigate to the template form to make changes.
Export Data
Automatically builds and runs a query of all registrants and the data associated with their form responses for this event.
Export PDF
Automatically renders a PDF of all form responses for this event. Each form response will also display the Form User, Form Title, Form Date, Form Status, and Form Submitted Date.
New Query
Automatically builds a query of all registrants and the data associated with their form responses for this event using the Standard Query Base. Additional exports and filters can be inserted as desired.
New Query (Preview)
Automatically builds a query of all registrants and the data associated with their form responses for this event utilizing Configurable Joins. Additional exports and filters can be inserted as desired.
New Report
Automatically builds a report of the event registration data. This report can be saved or exported if desired.
Survey Responses
If an event survey form is associated with this template, a report of the survey responses can be viewed here.
Don't see the event map?
If the map isn't displaying on an event, this could mean that the event geolocation is not saved when the event is created.
To add a map to an existing event where the geolocation did not happen, edit the event and add a space to the end of the street address and re-save. This will force it to re-run the geolocation.
To add a map to an event, select Edit Map and search for any location, or drag and drop the pin.
Check the map that is automatically granted to an event to ensure that its geolocation matches the expected map area.
