Querying for College Fairs

Query for college fairs to review recruitment events with their dates, assigned staff members, organization details, geomarkets, trips, and registration totals. This can help you plan recruitment travel, identify geographic coverage gaps, coordinate counselor assignments, and review historical fair participation.

Reviewing college fair coverage

College fair review queries are most useful when they show the event details and the related organization details together. Include the fair date, title, trip, assigned staff member, organization name, organization key or CEEB code, geomarket, organization type, and registration totals so you can compare activity across regions.

The example query returns event forms in the College Fairs folder and includes location organization information for each fair.

Building the query

Use a Form-based query so each row represents a form event. The filters limit the results to event forms stored in the College Fairs folder.

  1. Go to Queries / Reports.

  2. Select New Query.

  3. Configure the following settings:

    • Name: College fairs

    • Folder: Select the folder where the query should be saved.

    • Type: Configurable Joins

    • Base: Form

  4. Select Save.

Creating joins

Create joins that make organization and staff details available to the query.

  1. Select Join.

  2. Create a join to Location Organization Record.

  3. Select Join.

  4. Create a join to User.

Adding exports

Add exports similar to these to describe each fair and its related organization. Export names and available fields can vary by database, so choose the equivalent local fields when needed.

  • Form Start Date/Time: Event start date and time

  • User Full Name: Assigned staff user from the User join

  • Form Title: College fair event title

  • Form Trip: Trip connected to the fair, when present

  • Organization Key/CEEB: Organization key from the Location Organization Record join

  • Organization Name: Organization name from the Location Organization Record join

  • Geomarket: Geomarket assigned to the fair or its parent form

  • Organization Dataset: Dataset for the joined organization record

  • Organization Type: Organization type field from the joined organization record

  • Total Registrants w/ Guests: Total active form responses, counting each registrant and any guests

  • Notes: Notes from the form

Adding filters

Add filters that keep the Form-based query focused on college fairs.

Type

  1. Select Filter.

  2. Under Form, select Type.

  3. Select Continue.

  4. Set the filter to IN.

  5. From the list, select Event.

  6. Select Save.

Folder

  1. Select Filter.

  2. Under Form, select Folder.

  3. Select Continue.

  4. Set the filter to IN.

  5. From the list, select College Fairs.

  6. Select Save.

💡 Tip

Add filters for start date, assigned staff member, geomarket, organization type, or trip when you want to focus on a specific travel season or recruitment territory.

Sorting results

Add a sort for Form Start Date/Time in ascending order so fairs appear chronologically.

Scheduling exports

The imported example includes a scheduled export. Configure a scheduled export only when staff should receive or process this list on a recurring schedule.

Using the results

Use the results to compare fair coverage by date, territory, trip, assigned staff member, or organization type. The registration total can help you identify fairs with strong engagement, while the organization details can help with travel planning and future recruitment coverage.
