Overview
Administrators may need to reassign a gift when it was entered on the wrong record, such as the wrong person, company, foundation, or other record type.
Gift reassignment moves the gift to the correct record while preserving the original transaction history.
How Gift Reassignment Works
When a gift is reassigned, Slate does not simply change the record associated with the original gift.
Instead, Slate:
- Creates a reversal on the original record to offset the original gift.
- Creates a new gift on the destination record using the reassigned gift details.
This preserves the audit trail. The original gift history remains traceable, while the corrected gift appears on the appropriate record.
Payments are not moved automatically when a gift is reassigned. If a related payment also needs to be moved, transfer the payment separately using the Transfer Objects tool.
Before Reassigning a Gift
Before reassigning a gift, confirm:
- The gift should be moved to a different record.
- The destination record is correct.
- The gift details, such as fund, amount, date, campaign, appeal, soft credits, or tribute information, should remain the same or be adjusted during reassignment.
- Any related payment records should also be reviewed and moved separately if needed.
Gift reassignment is intended for received gifts.
Reassign a Gift
-
Open the record where the gift is currently recorded.
-
Go to the Giving tab and open the gift.
-
In the gift display, click Reassign.
-
Search for and select the destination record. The destination may be another person record, a company/foundation record, or another supported record type.
-
Click Reverse and Reassign.
-
Review the gift details. The gift entry form is pre-populated with information from the original gift. Review the details carefully and make any needed adjustments before continuing.
-
Click Reassign and Reverse Original.
-
Confirm the reassignment when prompted.
After the reassignment is complete, Slate creates the reversal on the original record and adds the new gift to the destination record.
Move Payments Separately
Gift reassignment does not automatically move payment records.
If the gift has an associated payment that should also move to the destination record, use Database > Transfer Objects to transfer the payment separately.
Gift reassignment and payment transfer are separate actions:
- Reassigning the gift moves the gift by reversing the original gift and creating a new gift.
- Transferring the payment moves the payment record from one record to another.
Both steps may be needed to fully correct the record.
Reporting and Audit Trail
Because Slate preserves the original gift, creates a reversal, and adds a new gift to the destination record, reports may show multiple related gift records when reversed gifts are included.
This is expected. The reversal offsets the original gift, and the new gift represents the corrected record association.
When reviewing or building reports, consider whether reversed gifts and reversal entries should be included or excluded based on the purpose of the report.
Troubleshooting
| Issue | What to Check |
|---|---|
| The Reassign option is not visible. | Confirm that you have permission to update giving records and that the gift type supports reassignment. |
| The destination record does not appear in search. | Confirm that the record exists and search using the name or identifying details stored in Slate. |
| The gift was reassigned, but the payment is still on the original record. | Payments are not moved automatically. Use Transfer Objects to move the payment separately. |
| Reports show the original gift, reversal, and new gift. | This is expected when reversed gifts are included. Adjust report filters as needed. |
| A related gift detail did not carry over as expected. | Review the new gift and manually update any missing or incorrect details. |
